Ways to Back Up Your Data

There are multiple ways you can back up your precious data – but it’s better to use several methods!

USB Sticks – these are usually large enough to store documents, pictures, and emails. Typical capacity ranges from 16 GB to 512 GB. They are cheap and widely available, but they are not very reliable for long-term storage.

External Hard Drives – with much higher capacity, they can hold a full computer backup. They are inexpensive and fairly reliable if handled with care. Most last more than five years, but they are vulnerable to drops and physical damage.

Cloud Sync – services such as Dropbox, Google Drive, iCloud, and OneDrive fall into this category. While convenient, they are not true backups. Because files sync right away, even deleted or corrupted data is copied instantly. These services can be free and are useful if your computer crashes, but they do not protect against every risk.

Cloud Backup – this option stores your important files on a secure cloud server. Redundant copies are usually kept, so even if one server fails your data remains safe. It is one of the most reliable ways to ensure your files are protected.

Common Backup Mistakes

Data loss is a question of “when,” not “if.”

Many people forget to back up their files regularly, assuming the computer will handle it automatically. Relying on a yearly backup puts months of precious data at risk.

Another common mistake is never checking if a backup can actually be restored. We often see hard drives fill up without warning, leaving no space for new backups.

Some users also leave their backup drives plugged in all the time. If the computer malfunctions or is infected, those backups become useless. Constant use also wears the drives down much faster.

USB sticks and portable drives are easy to misplace. Too often, they end up lost in a drawer or forgotten altogether.

Finally, many people do not keep off-site backups. A house fire, flood, or theft could destroy both the computer and the backup drive at once.

Backup Tips

Below are some tips that will help you make sure your backups are done right!

Follow the 3-2-1 backup strategy. This means keeping at least three copies of your data. Two copies should stay local on separate devices, such as your computer and a portable hard drive, while one copy is stored off-site.

Make backups as often as possible. The longer you wait, the more data you risk losing. A weekly backup is a good rule of thumb, and setting a calendar reminder can help. Backups only take a few minutes, but they can save you from disaster.

Test your backups regularly. Try restoring them on a different computer at least once a year to be sure they work. If you do not have a second computer, ask a friend and check together.

Remember to back up your phones and tablets as well. Losing a device should not mean losing precious family photos or important files.
